JOB SUMMARY
The Legal Administrative Assistant and Contract Management Officer shall primarily assist the
Legal and Regulatory Manager on matters pertaining to Contract Administration and smooth
operation of the Department. Such position shall likewise create a system or process that will
effectively and efficiently manage all contracts of HMC, Inc. since the Department is the central
repository of all contracts. The functions of this position are fluid depending on the needs of the
Department and/or of the Company.
PRIMARY DUTIES & RESPONSIBILITIES
1. Daily record keeping with electronic and hard copy filing of all documents;
2. Maintain and update databases and tracking systems of contracts, specifically those of the
vendor, HMO, insurance and regulatory/compliance contracts;
3. Make sure that contracts are renewed according to existing policies
4. Collating documents for filing before appropriate government agencies
5. Responsible for the filing and recording of the department’s disbursement, reimbursement,
liquidation expenses and the like;
6. Prepare invoices, requisitions and other administrative documents, including requests for
payments for external partners
7. Routes approval of forms and submits to concerned departments;
8. Keep abreast with new laws, rules and regulations affecting the business
9. Coordinate with AG Legal re: Corporate Secretarial works including routing of documents
for signature
10. Perform other ad hoc activities that may be assigned by the Legal Manager from time to
time
EDUCATION AND EXPERIENCE
• Candidate must possess a Bachelor’s Degree in any 4 year course, preferably Legal
Management graduate
• Minimum of one year experience in liaising with different government agencies
• Excellent verbal and written communication skills
• Adheres to procedural guidelines
• Excellent organizational and time management skills
• Ability to thrive in a fast-paced and high-pressure environment
• A team player and has knowledge in MS Office and Excel system applications
